Getting Started
What is IvyVina Pageants?
IvyVina is a platform for creating and running public pageant experiences. Organizers can create pageants, publish contestant profiles, open voting, monitor orders, close voting, and crown a winner from one dashboard.
Who can create a pageant?
Pageant directors, organizations, agencies, community groups, schools, and other authorized organizers can create a pageant. The person creating it must have permission to publish the pageant and contestant content.
Do I need an account before I start the pageant form?
No. You may begin the public pageant creation flow first. If you need to create an account, IvyVina carries the relevant organizer details into registration and creates the pageant after the account is completed.
Can I save a pageant before it is ready to launch?
Yes. New pageants are saved as drafts so you can add contestants, review dates, and preview the public presentation before publishing. The signed-in owner can view their own draft preview.
How much information is required to create a pageant?
The setup flow asks for the essentials needed to identify, schedule, and operate the pageant. Branding, extended organizer details, custom publication timing, voting rules, and other supporting information can be added from the optional details sections.

Pageant Setup and Management
How is the public pageant URL chosen?
IvyVina creates the URL slug from the pageant name. You may edit it, but every slug must be unique. If another pageant already uses it, IvyVina adds a number and tells you that the public URL was adjusted.
Are a logo and banner required?
No. The logo and banner are optional additional details. A pageant can be created without them and branded later from the dashboard.
What timezone does a pageant use?
UTC is selected by default. Organizers may choose another timezone, and IvyVina stores the schedule consistently while showing dates and times in the selected pageant timezone.
What dates do I need to set?
Set the pageant start and end, plus the voting start and end. Contestant publication and winner announcement normally follow sensible defaults, but organizers can override those dates in optional details.
What do draft, upcoming, live, voting closed, and completed mean?
Draft means setup is still private to the owner preview. Upcoming means published but voting has not started. Live means voting is open. Voting closed blocks new votes while results are reviewed. Completed means the winner has been crowned and the public result is available.
Can an organizer edit a pageant after publishing?
Current and upcoming pageants can be managed from the organizer dashboard. Once the pageant is completed or its dates have passed, some lifecycle actions may be restricted to protect voting and result integrity.
How does an organizer finish a pageant?
Close voting from the dashboard, review the final standings, select the winning contestant, add an optional winner title or message, confirm the result, and publish the crowning outcome.

Contestants and Public Profiles
What information can be added to a contestant profile?
Profiles can include name, contestant number, location, age, biography, advocacy, campaign message, profile photo, gallery images, social links, education, occupation, languages, motto, inspiration, and custom profile facts.
Can contestant profiles be saved as drafts?
Yes. Organizers can keep a profile in draft while information or media is being prepared, then publish it when it is ready to appear publicly.
What is required before a contestant can be published?
A published contestant needs the required profile information, a profile photo, and confirmation that the organizer has permission to publish the profile and media.
Can minors participate?
A pageant may include a minor when appropriate for that event, but the organizer must provide the required guardian details and confirm guardian consent before publishing the contestant.
Can contestants see a public profile before voting opens?
Published profiles can be visible during an upcoming pageant even when voting has not started. The profile clearly communicates whether voting is upcoming, live, or closed.

Voting and Payments
How do free votes work?
Each valid email address may cast one free vote per pageant each calendar day, based on the pageant timezone. IvyVina checks the allowance before confirming the vote.
What paid vote packages are available?
The standard packages are 1 vote for $2, 5 votes for $5, 25 votes for $20, 50 votes for $35, 100 votes for $60, and 200 votes for $100. Prices are in USD and are shown again before checkout.
How does PayPal checkout work?
Choose a paid package, enter the required voter details, accept the voting terms, and select Continue with PayPal. PayPal handles the payment securely and returns the voter to IvyVina after checkout.
Why does my PayPal order show as pending?
A new paid order remains pending until PayPal confirms the transaction. Votes are added only after verification. If confirmation is delayed, the order remains visible in the voter and management dashboards for reconciliation.
Where can I see who I voted for and what I spent?
Sign in with the same email used for voting, then open My Votes or My Orders. The dashboard shows the pageant, contestant, vote quantity, amount, gateway, transaction status, and date.
Are paid votes refundable?
Paid votes are digital support transactions. Refund eligibility depends on the pageant rules, IvyVina terms, and the payment provider. Contact support with the order number before opening a dispute so the transaction and credited votes can be reviewed.
What happens if a payment fails or is cancelled?
Votes are not added unless PayPal confirms the payment. A cancelled or interrupted checkout may remain visible as a pending order, while confirmed failures or reversals can be reviewed separately by administrators.
How are ties resolved?
The organizer chooses the available tie-breaking method during setup. IvyVina preserves that configuration so final results can be reviewed consistently before a winner is confirmed.

Accounts and Dashboards
What is the difference between organizer and voter accounts?
Organizer accounts manage pageants, contestants, votes, and orders that belong to them. Voter accounts show only the signed-in voter’s own voting and purchase history.
What can the IvyVina administrator manage?
Administrators can review organizers, voters, pageants, contestants, votes, payment activity, order transactions, account status, and platform-wide reports.
Are phone numbers required?
No. Phone numbers are optional unless a specific pageant process clearly identifies an additional need.
Why must I use the same email when voting?
The email identifies the daily free-vote allowance, connects confirmed orders to the voter dashboard, supports receipts, and helps administrators investigate payment or voting questions.
Can I change my account email or password?
Yes. Signed-in users can open account settings to change their email or password. Current-password verification is required for sensitive account changes.
Can I delete my account?
Yes. Account settings include a protected deletion flow with a confirmation step. Some transaction, fraud-prevention, audit, or legal records may still need to be retained as described in the privacy policy.

Privacy, Safety, and Support
Does IvyVina store my PayPal password or card number?
No. PayPal handles payment credentials on its secure checkout. IvyVina stores the order details and payment reference needed to confirm votes, show history, and reconcile transactions.
How does IvyVina protect voting integrity?
IvyVina records verification and order status, checks free-vote limits, does not credit unconfirmed paid orders, and keeps audit-friendly transaction references. Suspicious, reversed, fraudulent, or unauthorized votes may be reviewed or removed.
Why can I not find a pageant or contestant?
The item may still be a draft, archived, removed, misspelled, or unavailable. Try the site search, browse public pageants, or contact the organizer if you received an outdated link.
How do I report incorrect pageant or contestant information?
Use the Contact page and include the public pageant or contestant link, a clear explanation, and any relevant order number. Do not send passwords, payment credentials, or security codes.
Where can I get more help?
Search IvyVina, review these FAQs, or use the Contact page. Include the pageant name, contestant name, account email, and order number when relevant so support can locate the correct record.
